Get PDF tables into a spreadsheet without retyping

Bank statements, invoices, price lists and reports often arrive as PDFs, but the numbers are only useful once they're in a spreadsheet. Copying a table out of a PDF usually scrambles the columns. This tool detects tables in your PDF and writes them into an Excel .xlsx file with rows and columns intact, ready to sort, filter and sum.

Detecting tables reliably needs server-side processing, so this tool works differently from our in-browser tools. Your file is sent over an encrypted HTTPS connection to our own server in Germany (EU), converted, sent back to you and deleted immediately. It is never stored, never shared and never used for anything else. Files can be up to 50 MB.

Each PDF page becomes its own sheet. When a table is found, its cells are placed in matching columns; when a page has no detectable table, its text lines are placed in rows so nothing is lost. Tables with merged cells or no visible lines may need a little tidying afterwards, so check totals before relying on them.

This works on PDFs that contain real text, such as files exported from accounting software or Word. A scanned PDF is only an image, so no text can be extracted from it. Run it through our OCR PDF tool first to add a text layer, then convert the result to Excel.

Our take

We convert PDF to Excel when numbers are trapped in a report: bank statements for a budget, a supplier price list, or tables from an annual report that we want to sort and total.

The file is uploaded to our server in Germany and deleted immediately after conversion. We get the best results from PDFs that were generated digitally, where table cells are real text; we check totals against the source before trusting the spreadsheet.

The pitfall: merged cells, multi-line rows and headers repeated on every page often land slightly out of place, and scanned PDFs produce nothing useful until OCR PDF has added text. For a single small table, copying from the PDF viewer can honestly be quicker.
